Observing inventory at a 3PL

Third-party warehouses introduce access friction. Badge rules, camera bans, and shared docks can block the observation procedures you planned on paper. Inventory audit readiness means negotiating those constraints weeks ahead — not discovering them when the auditor is already on site.

Access letters early

Secure written permission for named observers, including external auditors. Specify time windows and whether photography is allowed. If cameras are banned, agree alternative evidence such as dual independent counts with 3PL staff present.

Know whose system is truth

Clarify whether the 3PL WMS or your ERP owns the inventory subledger for reporting. Mismatches at cut-off are common; document the reconciliation bridge before count day.

Scope the shared space

Mixed-client zones need clear segregation evidence. Walk the boundary with the 3PL supervisor and photograph (if permitted) or sketch the layout for the working paper file.
